The documentation arrives in formats that do not talk to each other: PDFs from certifying bodies, portal exports from SEDEX or EcoVadis, scanned copies from Asian suppliers, and annual CDP disclosure documents that run 80 pages each.
The quarterly ESG reporting cycle forces a crunch: someone has to verify whether current certifications cover the claimed sourcing volumes. Machine-readable PDFs are parsed with layout-aware chunking that preserves table structure, certification type, scope, expiry date, certifying body all become structured metadata fields. Portal exports from SEDEX or EcoVadis are parsed as structured data. Scanned copies go through OCR with a confidence threshold; below that threshold the document is flagged for manual review rather than silently ingested.
Expiry dates are extracted and stored as a structured field. Active queries exclude expired certifications by default and surface an expiry notice when a certificate has lapsed. An optional alerting layer flags certificates expiring within a configurable window, useful for Adidas North America procurement teams that need renewal lead time from suppliers.
New supplier documents arrive through a watched folder, email inbox, or supplier portal API. Each new certificate is ingested within minutes and, if it supersedes a prior certificate for the same supplier and scope, the old chunks are automatically marked superseded. No manual quarterly refresh cycle.
CDP, GRI, and SASB documents are chunked by framework section number and tagged with the corresponding indicator. A query scoped to CDP C6 (energy) retrieves only energy-related disclosure chunks, not the full 80-page submission.
