Scanned copies go through OCR with a confidence threshold; below that threshold the document is flagged for manual review rather than silently ingested.
Expiry dates are extracted and stored as a structured field. Active queries exclude expired certifications by default and surface an expiry notice when a certificate has lapsed. New supplier documents arrive through a watched folder, email inbox, or supplier portal API.
