Use Case
HR teams spend a significant portion of their week answering the same questions about PTO, expense reimbursement, onboarding steps, and safety procedures. The answers already exist. They’re in your documents. The problem is that employees can’t find them quickly, so they ask a person instead.
We build an AI assistant that reads your actual policy and SOP documents, answers employee questions in plain language, and cites the exact source. Questions the system isn’t confident about route to a human. Everything gets logged so you can see which policies generate the most confusion.
Tell us about your policy documentation situation.
Six components that together replace the repetitive policy Q&A burden, with routing to humans for the questions that need them.
Upload PDFs, Word docs, Confluence pages, or SharePoint files. The system parses, chunks, and indexes your policy documents so they can be retrieved accurately, not paraphrased from general knowledge.
Employees ask questions in plain language via Slack, Teams, or a web chat widget. The assistant understands context across a multi-turn conversation, so follow-up questions work naturally.
Every answer links back to the specific document and section it came from. Employees can verify the source. HR teams can audit what the system told people.
When the system isn't sure (ambiguous question, conflicting policy versions, or no matching document), it flags the query and routes to an HR or compliance contact instead of guessing.
A dashboard shows which questions get asked most, which documents get cited most, and which queries route to humans. This is often more valuable than the assistant itself: it tells you where your policy docs are unclear.
Segment document access by department, role, or location. HR policy docs available company-wide; executive comp docs available only to finance and leadership.
From employee question to cited answer, the full sequence.
Employee asks a question
Via Slack, Microsoft Teams, or a web chat widget. The question can be typed naturally, no commands, no keywords, no search syntax required.
RAG retrieval from policy documents
The system searches your indexed policy library for the most relevant sections. It pulls from your actual documents, not general knowledge about how companies typically handle PTO.
Answer with source citation
The assistant composes a clear answer and links the exact document and section it came from. The employee can click through to read the full policy if needed.
Low-confidence queries route to HR
If confidence is below threshold (or if the question is about a sensitive topic like disciplinary procedures or accommodation requests) the system routes to a designated HR contact with the original question attached.
Analytics on question patterns
Every question is logged. The analytics dashboard surfaces patterns: what gets asked most, where the AI had to route to a human, and which documents generate the most confusion.
The right fit is a team that spends meaningful time answering policy questions that their own documents could answer.
Answering the same PTO, benefits, and onboarding questions every week. The assistant handles the repetitive volume so HR can focus on the nuanced, sensitive cases that actually need human judgment.
Managing teams that need quick access to SOPs, safety procedures, and process documentation. Especially valuable for shift workers and field teams who can't easily reach a desk or a manager.
Companies in regulated industries where employees need accurate answers to policy questions and where audit trails of what information was provided matter.
Organizations where onboarding volume is high and the HR-to-employee ratio makes one-on-one policy walkthroughs impractical. New employees get answers at 10 PM on a Sunday if they need them.
We’d rather tell you upfront than take a project that won’t deliver the result you need.
Fewer than 20 employees
At small team size, the overhead of building and maintaining a policy assistant doesn't justify the cost. A well-organized Notion or Confluence with good search is the right answer.
Policies that change weekly
A knowledge base assistant requires document maintenance. If your policies shift constantly, you'll spend more time keeping the index current than you save on questions. Stabilize your policy set first.
Tell us how many employees you have, what chat platform they use, and where your policy docs currently live. We’ll reply within one business day with a rough scope and price range.
