Use Case
We build AI proposal systems that turn your past wins, case studies, and methodology documentation into a library the AI draws from when drafting new responses. The first draft of a 50-question RFP takes minutes. Your team reviews, personalises, and submits.
The time saving is real: 60–80% of proposal content repeats across submissions. The AI handles that 60–80%. Your strategists and writers focus on the sections where original thinking actually wins the work.
Tell us about your proposal workload.
Six components that handle the full RFP response workflow, from document analysis through first draft to submission-ready output.
Your winning proposals, case studies, team bios, and methodology documents are ingested, indexed, and made searchable by topic, industry, project type, and client size. The library improves with every proposal added.
When an RFP arrives, the agent extracts every question, requirement, evaluation criterion, and submission instruction. The structure of the response is mapped before any drafting begins.
Each question is matched to the most relevant content from your proposal library. The AI drafts a response using that content as the foundation, not a blank page.
Company overview, team credentials, certifications, insurance, and standard terms are maintained in a managed boilerplate library. Sections that never change are inserted automatically.
Before submission, the system verifies every question has been answered, all required attachments are flagged, and page and word limits are respected. No more disqualifications for missing a required section.
The draft routes to the team lead for review with new or unusual questions flagged for personalisation. Reviewers see the draft alongside the original question and the source content it drew from.
From RFP receipt to submission-ready draft, the full sequence.
RFP received
The RFP document is uploaded: PDF, Word, or directly from a procurement portal. The system ingests the full document and begins analysis.
Extract questions and requirements
The agent identifies every question, requirement, and evaluation criterion. A structured list of what needs to be answered is generated, including page limits and format requirements per section.
Search past proposals for relevant sections
For each question, the system searches the proposal library for the most relevant past responses. Relevance is scored by industry, project type, question type, and recency.
Draft response per question
Each question receives a draft response built from the retrieved content, adapted to the current RFP context. Boilerplate sections are inserted without prompting.
Flag unanswered or new questions
Questions with no strong match in the library (genuinely new questions or highly specific requirements) are flagged for human drafting. The reviewer sees exactly which sections need original content.
Human review, personalisation, and submission
The reviewer personalises flagged sections, adjusts tone, and approves the full response. The compliance checklist runs before final export, every question answered, every attachment listed.
The right fit is an organisation that submits proposals regularly and has a library of past work to draw from.
Agency RFPs ask the same questions in slightly different order every time. The AI handles the first draft from your case study library so your strategist personalises rather than writes from scratch.
Consulting proposals require significant writing time, but 60–70% of the content (methodology, team profiles, past projects, certifications) repeats across proposals. That 60% writes itself.
GovCon RFPs are highly structured and compliance-heavy. The AI handles section extraction, boilerplate insertion, and compliance checking, the parts that take time but require no judgment.
High-volume bidding environments where the same qualifications, insurance, and references appear in every submission. The AI fills those sections automatically; you personalise the scope-specific responses.
Three situations where we’d steer you elsewhere.
Companies without at least 10 past proposals to seed the library
The system drafts responses from your past winning content. Without a proposal library to draw from, the AI has nothing to reference and the value of the system is minimal. If you have fewer than 10 past proposals, you need to write the library first.
Single-person agencies where writing is faster than the system
If you write two or three proposals a year, the time to maintain the library and review AI drafts exceeds the time saved. This system is built for volume.
Proposals where every section must be custom-written from scratch
Some highly creative or relationship-driven proposals don't benefit from library-based drafting. If the winning factor in your market is entirely original strategy per client, the AI draft adds less value.
